Microsoft Campus License Agreement
Overview
Microsoft licenses Microsoft 365 (formerly Office 365) services to SPU based on named user licenses, as of July 1, 2020. Compared to prior licensing agreements, this license structure has increased service to most employees and current students, but has required more precise tracking of license allocations and decreased service to alumni and some other populations.
Check My License
As an SPU user, you can check what license you have been granted by following these steps:
- Log into the Banner Info System (www.spu.edu/banweb) with your current SPU Username and Password
- Select Personal Menu
- Select Computer Accounts Menu
- Select Manage Your Accounts
- Find the "Email Account" Resource and note the value under the License header.
License Summary
Faculty & Staff Licenses
Most employees are classified as Knowledge Workers, and are assigned an A5:Employee license. Employees who use a computer for less than 50% of their job and/or only use Microsoft Office from shared computers will generally be assigned an A1:Employee license.
Student Licenses
Students will retain the A5:Student license up to 1 year after their last registered quarter, after that students will be switched to an Alumni license. Any files stored in OneDrive will become read only at that point and students will not be able to create new files or edit existing files without purchasing their own personal Microsoft license.

Student Employees count as Students and are assigned A5:Student.

Emeriti Licenses
Emeriti Faculty will retain the A1: Employee license. If after becoming Emeriti, an individual wants to use the desktop applications, they will need to purchase their own personal Microsoft license.
Alumni Licenses
Approximately one year after the last class taken at SPU, the student license, which provided the Office Suite and other features listed above, will be removed and alumni will move to a mailbox only license. In order to retain access to the desktop apps, alumni should purchase their own license or consider switching to other document editing tools.
